Why Make Your Own Planner?

Creating your own personalized planner gives you total control over what goes into it — and what doesn’t. No more buying planners that are almost right but have pages you’ll never use.

With a custom planner maker like Planify Pro, you can design layouts that match your exact routine, choose your own colors and fonts, include only the pages you need (daily, weekly, habit tracker, meal planner — whatever works for you), and export as a printable PDF or an interactive digital planner with clickable hyperlinks.

Whether it’s for personal use or to sell on Etsy, you don’t need any design experience to create something beautiful. Planify Pro’s drag-and-drop editor, 3,000+ templates, and 4,000+ stickers handle the heavy lifting.

What You’ll Need Before You Start

Getting started is simple. Here’s what you need:

  • A computer or laptop — Planify Pro works best on desktop browsers. For device recommendations, see our recommended devices guide.
  • A Planify Pro account — Sign up free at planifypro.com. The free plan lets you explore, while the Personal or Business plan unlocks full template access and exports.
  • Firefox browser in Private/Incognito mode — This gives you the smoothest experience and avoids browser storage issues.

That’s it. No design software to download, no plugins to install.

Step 1: Create a New Project

Once you’re logged into Planify Pro, you’ll land on the Dashboard. This is your home base where you can create new planners, access saved projects, and browse templates.

To start your first planner, click the “Create a Planner” button — it’s the first icon under the welcome banner on your Dashboard.

After clicking, you’ll be taken directly into the creation workspace. This is where all the magic happens — you’ll see your blank planner page with the toolbar at the top.

Step 2: Choose a Template (or Start from Scratch)

You have two options here: start with a pre-designed template and customize it, or build your planner from a blank canvas. If you’re a beginner, starting with a template is highly recommended — it saves time and gives you a professional-looking starting point.

To browse templates, click the “Template” button in the top toolbar. In the submenu, choose Starter Templates to see Planify Pro’s built-in designs, organized by category (daily, weekly, monthly, habit tracker, etc.). You can also browse Public Templates created by other users in the community.

Simply click on any template to apply it to your project. You can preview different options before committing — and you can always change your template later.

Step 3: Set Your Page Size & Layout

Before you start designing, choose the right page size for your planner. Click the “Size” option in the top menu to pick from standard sizes like A4, A5, US Letter, Happy Planner, and more. You can even create a custom size if you need something non-standard.

Next, set up your page layout. Click “Layout” in the top menu, then “Layout Templates” to see premade layout structures — from simple single-box layouts to multi-column grids. Click any layout to instantly apply it to your page.

Want to fine-tune the layout? Turn on Edit Layout mode (the switch at the top left) to manually resize rows and columns by dragging. This is covered in detail in the How to Change Layout Box Sizes guide.

Step 4: Add Widgets to Your Pages

Widgets are the building blocks of your planner — calendars, to-do lists, habit trackers, daily schedules, notes grids, and more. This is where your planner starts to come alive.

To add a widget, make sure Edit Layout is turned on. Click inside any empty box on your page (it will say “Click to Edit”). This opens the widget selection panel on the right side, where you can browse and choose from all available widgets.

Simply click a widget to insert it into the selected box. You can add as many widgets as your layout has boxes — and you can always add more rows or columns if you need extra space.

To delete a widget you don’t want, click on it in Edit Layout mode and choose to remove just the widget, or the entire row/column.

Step 5: Customize Colors, Fonts & Style

Now make your planner yours. Planify Pro gives you full control over the look and feel of every element.

Colors: Click the “Color” menu in the top toolbar to change the colors of your widget outlines, headers, lines, and backgrounds. You’ll see three color options — Outline Color, Header Color, and Line Color — and any change applies across your entire planner instantly.

You can pick from the color palette or use the color picker tool to match a specific hex code or grab a color from your screen. Want to change the color of just one widget? You can do that through the individual widget settings.

Fonts: Click “Texts” to access font settings. You can set different fonts for H1 (main headers), H2, and H3 text levels. Choose from hundreds of built-in fonts, or upload your own custom font. See our text types guide for more on how H1/H2/H3 work.

Widget styles: Click the “Style” button to browse four categories of widget appearances — Neutral, Minimal, Decorative, and Bold. Select a style and it applies to all widgets on your page instantly. You can also apply a style to just one specific widget by clicking on it first, then choosing “To selected Widget” in the style panel.

Patterns & backgrounds: Use the “Pattern” menu to add decorative backgrounds to your pages — florals, geometric, textured, or solid colors. You can adjust the opacity so patterns stay subtle, or even upload your own pattern.

Step 6: Add Stickers & Decorative Elements

This is the fun part! Planify Pro includes 4,000+ stickers organized into themed collections — from cute illustrations and icons to functional elements like banners, dividers, and labels.

Click the “Sticker” button in the top menu. On the right panel, browse sticker collections and click any sticker to add it to your page. You can then drag it to reposition, resize it, or rotate it.

A few things to keep in mind with stickers:

  • Stickers sit on top of your widget layout — they’re decorative overlays
  • You can move, rotate, and delete stickers freely
  • If the sticker is an SVG, you can change its color directly
  • You can add shadows to stickers for depth and style
  • Understand the difference between Sticker Mode vs. Planner Mode to avoid accidentally moving elements you don’t want to

Step 7: Add More Pages & Organize

Most planners have multiple pages — monthly calendars, weekly spreads, daily pages, notes, goal trackers, and more. Planify Pro makes it easy to build a multi-page planner.

Use the page manager at the bottom of your screen to add new pages, rearrange the order, rename pages, or delete ones you don’t need. Each new page can have its own layout and widgets.

If your planner uses dated pages (like a monthly calendar repeated for each month), you can use the “Run Dates” feature to duplicate a page and automatically update the dates — a massive time saver instead of creating 12 monthly pages manually. You can even duplicate hundreds of pages at once (e.g., 365 daily pages for a full year).

Step 8: Save Your Work

Don’t forget to save! If your project has more than one page, you’ll see a quick save button on the right side of your screen — use it often. Planify Pro does not have auto-save, so clicking the quick save button regularly is highly recommended to avoid losing any changes.

Planify Pro workspace - quick save button

If the quick save button is in your way, you can drag it anywhere on screen or collapse it. For single-page projects where the button doesn’t appear, go to Save/Export → Save → Save and Update in the top menu.

All saved projects go to your My Collection page, where you can organize them with tags, rename them, and access them anytime.

Step 9: Export Your Planner

When your planner is ready, it’s time to export. Click the “Save/Export” button in the top menu, then select “Export.”

Planify Pro export menu - save and export planner

You’ll be asked to choose your export type:

  • Paper Print — exports a high-resolution PDF optimized for printing. You’ll also choose your paper size (A4, US Letter, or same as project) and how pages should be arranged for binding.
  • Digital Planner — exports an interactive PDF with all hyperlinks intact, ready to use in apps like GoodNotes or Notability.
  • KDP Export — specialized settings for publishing on Amazon KDP.

For printable planners, you’ll also choose a page arrangement option: Ring/Disc Bound (rearranges pages for double-sided printing), Binder/Traveler’s Notebook (arranges for booklet folding), or Do Not Rearrange (exact order as designed).

Step 10: Print & Bind (If Making a Physical Planner)

If you’re creating a printable planner, the final step is bringing it to life! Print your exported PDF on quality paper — for printer recommendations, see our best printers for planner making guide.

For printing tips:

Then choose your binding method. There are several options depending on the look you want:

For a full comparison of all binding methods, read our complete guide to book binding.

Making a Digital Planner? Here’s What’s Different

If you’re creating a digital planner (for iPad, GoodNotes, Notability, etc.), the design process is the same — but you’ll also want to set up hyperlinked navigation so users can tap between sections.

To turn your project into a digital planner, go to Layout → Digital Planner in the top menu. This unlocks special features like tabs, hyperlinks, and page linking. You can choose between a two-page spread (landscape, like an open book) or single page vertical (portrait, one page at a time).

The best part? Planify Pro handles automatic hyperlinking — what would take 10-15 hours manually is done in seconds.

Tips for Your First Planner

Start simple. Your first planner doesn’t need 50 pages. Start with a cover, a monthly calendar, and a weekly spread. You can always add more pages later once you’re comfortable with the tools.

Use templates as starting points. Don’t feel like you need to design everything from scratch. Pick a template that’s close to what you want and modify the colors, fonts, and layout to make it yours.

Test before you finalize. If making a printable planner, print a few test pages before exporting the entire thing. Check that text is readable, writing spaces are big enough, and colors print the way you expect.

Save often. Use the quick save button regularly, especially before making big changes. If something goes wrong, you can recover a previous version.

Keep it consistent. Stick to 2-3 fonts and 3-5 colors throughout your planner. Consistency makes your planner look professional, even if the design is simple.
